Performed all administrative duties with minimal supervision and reported directly to the supervisor while working full-time Monday through Friday.

 

Responsibilities include:

  • First point of contact via phone and face to face dealings with customers and stakeholders.

  • Maintaining phone log and emails.

  • Maintaining and managing the flow of correspondence such as telephone enquries and email communications.

  • Processing invoices via this QATS production system.

  • Creating client records via TRIM and following the record management processess and procedures.

  • Updating client files accordingly via paper based and electronically.

 

Key achievements:

  • Improving compactus filing system and filing cabinets

  • Improved information and workshop packaging system.

  • Updated clients feedback forms via the ITB database system (back log of 100 plus forms)

 

I took on this contract role to increase my IT skills, develop my current administrative skills and to gain an understanding of working within the money lending industry.

Volunteer Receptionist (Wednesday afternoons, 12.30 to 14.30)

 

Working one day for two hours a week, performing all administrative with minimum supervision and reporting directly to the Administration Coordinator.

Responsibilities include:

  • First point of contact via phone and face to face dealing with customers

  • Managing the flow of correspondence, telephone & email communications.

  • Maintaining professional personal representation and initiating any work that arises.

  • Scheduling appointments and maintaining phone log.

  • Maintaining effective and confidentiality of administrative support service.

 

Key achievements:

  • Creating a simple information system updating Job Service Providers information using Microsoft  Word

 

I have taken on this role to enhance my administrative skills, serve the community, and expand my professional network.

Volunteer Office Assistant

Working one day a week, I managed all administrative tasks and reported directly to the Director.

Responsibilities include:

  • Liaising with various officers and clients within the public and providing services as required.

  • Rostering and assisting with document preparation using Microsoft Office packages.

  • Managing the flow of correspondence, telephone & email communications.

 

Key achievements:

  • Due to my high level organisation skills, goal setting and ability to achieve results I was entrusted the opportunity to complete my work at home.

 

I terminated my volunteer work due to my spouse's promotion with QANTAS Link and our relocation to Cairns.

 

Skills Used:

  • Use printer, scanner and computers to print and distribute Sunday school lessons.

Exam Invigilator

Autonomously managed all administrative functions of the exam room, reporting to two supervisors.

 

Responsibilities include:

  • Preparing exam rooms & materials and attendance records before student arrivals.

  • Handing out examination papers, giving instructions to students, and ensuring that the exam starts and finishes on time.

  • Checking that all unauthorised items such as mobile phones are cleared from desks and bags placed in a designated area before the exam starts.

  • Ensuring that students are aware of the examination conditions before the exam starts.

  • Supervising students during exams. (Up to 12 students per exams)

  • Ensuring the exam is conducted fairly and that no student is cheating.

  • Collating term and course exam papers and filing accordingly.

 

Key achievements:

  • Performing all tasks with exceptional organisation while meeting the tight deadlines typical of an exam invigilator.

  • Setting up rooms with minimal assistance, leaving my supervisors to concentrate on their core functions of the Tafe centre.

 

This role was a 9 day temporary assignment which I completed effectively and efficiently.

 

Skills Used:

  • Working well with others such as students and stakeholders.

  • Achieves results - I see tasks through to completion and seek feedback from supervisor on my performance of assigned tasks. e.g. Adhereing to the exam timetable and setting up exam classroom an hour before exams while following exam protocols. Double checking with supervisor with exam filing methods after each day. Securing exam files by locking up office after end of each day.

  • Using apple software - PC's.

  • Conducting myself in a professional manner.

  • Using my sense of authority.

  • Taking and giving instructions to students.
